Microsoft Access advantages
This project has shown me the value of using a relational database package to keep track of data relating to the functions of an organization. Although I had previously used Microsoft Access at a basic level in Higher Information Systems, it wasn’t until tackling this project that I began to fully understand the wide range of users that Access has. As well as learning how to use Access, my teamwork skills have also benefited. Time management was a crucial factor in successfully completing the project and it was important that all group members helped out and concentrated on specialised tasks, such as inputting the data, drawing up plans to solve the various user requirements, or working on the overall presentation of the project by adding various macros into the forms. Additionally, I also learned the value of ‘planning’ things out on paper as our initial attempt to ‘dive straight in’ and try and solve the problem as we went along quickly found us lacking purpose and direction. There are several advantage of using a database approach over a spreadsheet package for this type of application. Firstly, the storing of data is much simpler as it is easy to break data up into many related tables, therefore making it easy to locate relevant data. Furthermore, the inputting of data is much simpler as user friendly forms can be created to capture relevant data. In many cases, data is inputted from paper forms returned by customers. Where Excel simply offers a static list of fields, Access allows for the creation of custom forms – laid out the same way as the paper forms – thus facilitating the entry of information by the data operator. User Requirement 10: For this requirement, the specific research interest must be identified. Taking Management Accounting for example, a query would be run which searches research interest with ‘Management Accounting’ as the criteria, as well as including the relevant members details to allow a mail to be sent to them. This would return a list of appropriate members and an email would then be sent to everyone on the returned list. Once the query has been run and the results produced, the database package enables a much more advanced reporting system. The information from the query is simply taken and inserted into a report. The report wizard guides the user through the creation of the report, allowing the user to customize key areas of the design such as the layout, colour scheme
