Wholesale distribution company annual sales are approaching $1,000,000, a point at which the company must consider upgrading their inventory management system. Currently the inventory records are kept in Excel Workbooks. Record accuracy is difficult to maintain due to the lack of integration of incoming and outgoing transactions.

Many aspects of the business have suffered as the business has grown. Customer management, sales tracking, accounts receivable, accounts payable, purchasing, shipping/receiving and warehouse management, which includes inventory control. Though each area has independent characteristics from the others, all activities interact with and are affected positively or negatively by the accuracy of inventory records.

Immediately required is a database for inventory management and control. A relational database will be implemented using Microsoft Access technology with a centralized server for data storage and Active Server Pages (ASP) as the user interface. The model will include tables for Customers, Part Master, Orders, Inventory and Shipments.

Data processing depicts work or actions performed on incoming data, which is then transformed into outgoing data. Processes can perform computations, split data based on business rules, combine data or summarize data for future use in decision-making, or business operations. Basically the process component of the dataflow diagram represents work or actions performed on data so that they are transformed, stored or distributed in support of the business application.

It is assumed however that these same employees are very well trained and have a high level of understanding of what is required to manage information in a manual system. This should provide insight that can be taken advantage of in the design of the automated system, making it more robust and a reflection of the activities that drive the management of inventory.

Graphically the DFD uses circles or elliptical shapes to indicate data processing, dataflow lines with arrows to show the direction of data flow, two parallel lines to show data storage points and squares to provide indicators of where data originates from or terminates. The flow lines show how information moves through the inventory control application. The data store represents storage of data for later access and processing. The data store can be temporary storage of processed data waiting additional processing, or it can be data permanently recorded within the database.
